A consistent checkout record is easier to search, reconcile, and improve than a mix of paper notes and chat messages.
- 01
Identify the exact item
Use an asset ID or SKU when several units look alike.
- 02
Record responsibility
Name the customer, employee, student, crew, or job receiving it.
- 03
Close the return loop
Capture due date, returned condition, approval, and exceptions in the same place.
When the sheet gets busy
Keep the workflow, lose the manual chasing
RentalBench connects availability, the customer or team member, assigned physical items, due dates, documents, and returns in one order history.
- See what is available before promising it
- Keep exact physical items attached to the order
- Track checkout, due-back, and return status together
Equipment checkout template questions
What should an equipment checkout form include?
At minimum, record the item, the person or customer receiving it, checkout date, due date, and condition. Asset ID, deposit, approval, return condition, and notes are useful when the handoff needs more accountability.
Can I use this template in Google Sheets?
Yes. Choose Copy for Google Sheets, open a blank sheet, select cell A1, and paste. You can also download the Excel version and import it into Google Sheets.
Do I need to enter an email address?
No. Every format is available without an account or email address. The optional email field opens your own email app with a link to the configuration; RentalBench does not receive the address.
When should I move from a checkout sheet to software?
A sheet works for a simple, low-volume handoff. Dedicated equipment checkout software becomes useful when availability changes often, several people edit the same record, overdue items need follow-up, or you need a reliable history of each physical item.
