Expose gaps before migration
Adding one item is not a rental workflow. Run normal work, a conflict, and a messy return from request through inspected readiness.
Conflict
Create an overlapping request, then make the first item overdue or put the remaining unit into maintenance.
Pass when: Staff can see why the request is unsafe and which inventory, if any, remains eligible.
Messy return
Return an order with one damaged item or missing accessory and keep that unit unavailable.
Pass when: The exception is recorded and the next reservation sees the unit as unavailable until it is ready.

How should I score rental software?
Use 0 for missing, 1 for a workaround, 2 for usable with extra steps, and 3 for a clear complete workflow. Keep evidence for every score and test every vendor with the same scenarios.
Should the product with the highest total always win?
No. Mark must-have workflows before testing. A score below 2 in a must-have area needs deeper review or can disqualify the product even when its total is high.
Can I use the scorecard in Google Sheets?
Yes. Copy the worksheet, open a blank Google Sheet, select cell A1, and paste. The weighted-score formulas are included. You can also import the Excel version.
Does the scorecard rank or favor RentalBench?
No. No vendor receives a preset score. The worksheet is a neutral evaluation method designed to keep workflows, test orders, evidence, weights, and must-have requirements consistent.
